Troubleshooting Guide: HubSpot CRM Integration with JustCall

Issue 1: HubSpot Dialer Slow to Load with JustCall

Problem: The JustCall native dialer takes several seconds to load when clicking the call icon on a contact in HubSpot, delaying call capability.

Solution: Optimize Browser, Integration, and HubSpot Settings

1. Check Calling Provider Defaults

  • Set Default Provider: In HubSpot, click the phone icon (top-right corner) and confirm JustCall is selected as your default calling provider
  • Change Provider (if needed): If multiple calling providers are installed, click "Change provider" and explicitly reselect JustCall
  • Calling Status: Ensure your calling status within JustCall is set to "Available"

2. Confirm the Integration Setup

  • Integration Connection: Verify the JustCall integration is correctly connected in HubSpot; consider reauthorizing or reinstalling if uncertain
  • JustCall Login Status: Ensure you're actively logged into JustCall within HubSpot with no expired tokens or permissions requiring re-approval

3. Verify Browsers and Basic Settings

  • Supported Browsers: Use the latest version of Google Chrome, Mozilla Firefox, Microsoft Edge, or Safari
  • Clear Browser Data: Clear cached data and cookies to resolve session conflicts or corrupted data

4. Test Different Contacts and Numbers

  • Phone Number Format: Verify numbers include correct formatting and country codes
  • Alternative Test Call: Attempt calling a different, known valid number to isolate whether the issue is contact-specific or broader

Issue 2: Call Logging Fails with "One or more associations are not valid" Error

Problem: Calls aren't logging in HubSpot and users receive an error message about invalid associations.

Solution: Ensure Proper User Permissions and Reconnect Integration

Root Cause

The missing Communicate permission prevents users from associating call activities with CRM records.

Reconnect the Integration

  • Remove the existing JustCall-HubSpot integration for all team members
  • Reintegrate starting with the Account Owner (must have Admin Access)
  • Request each team member individually reconnect their HubSpot accounts to JustCall

Verify HubSpot User Permissions

  • Navigate to HubSpot > Settings > Users & Teams
  • Confirm affected users have the "Communicate" permission enabled
  • This permission allows users to send emails, log calls, schedule meetings, enroll contacts in sequences, and associate activities with CRM records
