Send HubSpot Meeting Reminders via SMS

Overview

JustCall enables automatic text message reminders to HubSpot contacts before scheduled meetings. This integration requires a Zapier account (available at zapier.com/sign-up/). The workflow helps reduce "no show" rates while saving time and money.

The integration uses two components: HubSpot as the trigger application and JustCall as the action application that dispatches the SMS messages.

HubSpot Configuration (Trigger Setup)

  1. Create a new Zap - Open your Zapier account and select "Make a Zap," choosing HubSpot as your trigger app.

  2. Select trigger type - Choose "New contact property change" as your trigger event.

  3. Pick property name - Select "Last meeting booked," which updates whenever a contact schedules a meeting.

  4. Pull sample data - Retrieve a sample meeting record from HubSpot to configure the automation.

JustCall Configuration (Action Setup)

  1. Choose action app - Select JustCall as your action application.

  2. Select action - Pick "Schedule a text message" from available actions.

  3. Choose account - Select which JustCall account should send the reminders.

  4. Configure message details - Set up the text preview with these fields:

    • To Number: Customer's phone number from HubSpot
    • From: Your JustCall sending number
    • Body: Your reminder message text
    • Date & Time: Meeting timestamp from HubSpot
    • Offset: Adjustment value (positive adds time; negative subtracts)
  5. Test the automation - Verify the zap functions correctly between both platforms.

  6. Verify scheduling - Confirm the text message appears in your JustCall account's scheduled messages.
