Automatically Close Tasks in HubSpot After a Call
Overview
The JustCall-HubSpot integration enables automated task management by closing specific HubSpot tasks based on call outcomes, improving efficiency and ensuring tasks update automatically.
Note: This feature requires a Pro Plan or higher.
How the Automation Works
Once a call ends and a selected outcome is logged:
- JustCall searches for "Call" type tasks linked to the HubSpot contact associated with the call
- Tasks not marked as "Closed" are evaluated against chosen criteria
- The appropriate task closes based on the configured rule
Enabling Task Closing Automation
Step 1: From the Dashboard, select Integrations in the left menu
Step 2: Navigate to My Active Integrations tab and find the HubSpot integration
Step 3: Click the Configure button on the HubSpot integration box
Step 4: You'll be redirected to HubSpot settings
Step 5: Click the Advanced Settings section
Step 6: Toggle on "Track and generate reports basis call outcomes in HubSpot" to enable HubSpot Call Outcomes (prerequisite for task closing)
Step 7: Scroll down to "Automatically close tasks of type 'Call' in HubSpot" settings
Step 8: Configure the automation rule:
- Select JustCall call outcomes that trigger task closure
- Select HubSpot call outcomes that trigger task closure
- Choose criteria from dropdown options
Step 9: Click Save Changes; optionally apply settings across all team members
Available Criteria Options
- None - No tasks close
- Due Today - Close tasks due today (most recent if multiple)
- Due Today (Created via Sequence) - Close sequence-created tasks due today
- Oldest Due - Close tasks with oldest due date prior to current date
- Oldest Due (Created via Sequence) - Close sequence-created tasks with oldest due date
Important Notes
- Multiple call outcomes can be selected
- Rule activates with at least one outcome and one criterion selected
- "Task due today" status evaluates based on UTC timezone
- If "None" is selected, no tasks will close
