Send SMS/MMS via Lead Based Workflows in HubSpot

Overview

JustCall enables users to send text and multimedia messages to leads through HubSpot workflow automations. This functionality streamlines outreach to prospective customers before they convert to full prospects.

Note: This guide covers Lead-based workflows. For Contact-based workflows, refer to the HubSpot SMS Automation Setup Guide. For Deal-based workflows, see the Send SMS as Deal Owners article.

Available Custom Actions

JustCall provides two distinct custom actions for Lead workflows:

Send an SMS/MMS - Use this action when dispatching messages through a specific JustCall number. All messages route through your selected number, making it ideal for cold outreach and generic customer updates.

Send SMS/MMS as HubSpot Lead Owner - This action sends messages using the lead owner's default JustCall SMS/MMS number, better suited for personalized communication with familiar contacts.

Setup Steps: "Send an SMS/MMS"

  1. Create or open a Lead-based workflow in HubSpot
  2. Configure your workflow trigger
  3. Search for "JustCall" in the actions window and select "Send an SMS/MMS"
  4. Enter message content in the Contents field (use HubSpot's Insert Data feature for personalization)
  5. Select a sending number from your JustCall account (ensure 10-DLC approval for US messages)
  6. Optionally add a media file URL (required for MMS; leave empty for text-only)
  7. Save and activate the workflow

Messages dispatch to the Primary Contact's default phone number associated with the lead.

Setup Steps: "Send SMS/MMS as HubSpot Lead Owner"

  1. Create or open a Lead-based workflow in HubSpot
  2. Configure your workflow trigger
  3. Search for "JustCall" and select "Send SMS/MMS as HubSpot Lead Owner"
  4. Specify the Lead Owner property field (leave blank for HubSpot's default)
  5. Enter message content in the Contents field
  6. Optionally add a media file URL
  7. Save and activate the workflow

Messages route from the lead owner's default SMS/MMS number to the Primary Contact's phone number.

Important Requirements

  • Use MMS-enabled numbers when sending multimedia files
  • For US messages, select 10-DLC approved numbers
  • Contact JustCall support for questions
