Log Appointments as Meetings on HubSpot

Overview

JustCall's Appointment Scheduler enables automatic logging of scheduled appointments as Meetings in HubSpot. This keeps your CRM synchronized with upcoming interactions and links meetings to relevant contacts for complete context.

Enabling the Feature

Follow these steps from the JustCall Dashboard:

1. Select Integrations from the left menu
2. Navigate to My Active Integrations tab
3. Locate and click Configure on the HubSpot integration
4. Access HubSpot Integration Settings
5. Open the General Settings section
6. Toggle on "Create Meetings for calls scheduled via appointment scheduler"
7. Click Save Changes (optionally apply to all team members)

How It Works

When appointments are booked through your JustCall calendar:

1. Email matching: The system searches HubSpot for existing contacts using the booking email
2. Phone number fallback: If no email match exists, it attempts matching by contact number
3. Contact creation: If neither identifier matches, a new HubSpot contact is automatically created

The meeting is then logged and linked to the appropriate contact, ensuring no scheduled interactions slip through tracking.
