Log Voicemail Transcripts in Call Activities in HubSpot

Overview

When contacts leave voicemails, JustCall creates corresponding call activities in HubSpot. With transcription enabled, the voicemail text appears in the activity log, allowing teams to:

  • Review voicemail content directly within HubSpot
  • Prioritize follow-ups more efficiently
  • Maintain written records of customer messages

Feature Requirements

  • Available only with the Team plan or higher
  • Configuration requires the JustCall Web Portal (not supported on mobile or desktop apps)
  • Voicemail transcription must be enabled separately

Enable Voicemail Transcription

Before enabling logging in HubSpot, ensure voicemail transcription is activated for your phone number. This feature transcribes voicemails and adds transcripts to missed calls as remarks or via email. Refer to the Voicemail Transcription guide for complete setup instructions.

Enable Logging of Transcripts in HubSpot

Steps:

  1. From the Dashboard, select Integrations in the left menu
  2. Navigate to My Active Integrations tab
  3. Search for and locate the HubSpot integration
  4. Click the Configure button
  5. You'll be redirected to HubSpot General settings
  6. Find the option "Log transcripts for incoming voicemails" and enable the toggle
  7. Click Save Changes at the bottom
  8. Optionally, apply settings across all team members using the corresponding checkbox

What to Expect

Once enabled:

  • Voicemails continue being logged as call activities in HubSpot
  • Transcriptions appear in the notes section of each call activity
  • Users can view complete voicemail text alongside call details
