How to Save and Reuse SMS Templates in JustCall

Reply faster to common questions by saving your best responses as templates. Create a template once, then insert it into any conversation with two clicks. Share templates across your team so everyone sends consistent, on-message replies.

Create a Template

Need a reply you'll send again? Save it as a template directly from the conversation view.

  1. Open any conversation in the SMS Inbox.
  2. Click the Saved Replies icon at the bottom of the compose area.
  3. Click Add New.
  4. Enter a Title that describes when to use this template (e.g., "Meeting confirmation" or "Pricing follow-up").
  5. Type the message content in the Body field.
  6. Click Save.

The template is now available in your Saved Replies list. You can insert it into any future conversation.


Insert a Template into a Conversation

  1. Open the conversation where you want to reply.
  2. Click the Saved Replies icon at the bottom of the compose area.
  3. Browse or scroll to find the template you want.
  4. Click the template to load its content into the compose field.
  5. Edit the message if needed, then send.

Tip: If you handle similar questions daily, templates cut your reply time significantly. Pair them with the Unread filter to work through new conversations quickly (see Managing SMS Conversations).


Edit a Template

Update a template when your messaging changes or you spot something that needs fixing.

  1. Click the Saved Replies icon in any conversation.
  2. Find the template you want to update.
  3. Click the Edit icon next to the template.
  4. Update the Title, Body, or both.
  5. Click Save.

Changes apply immediately. The next time you or a team member inserts this template, they get the updated version.


Delete a Template

Remove templates you no longer use to keep your Saved Replies list clean.

  1. Click the Saved Replies icon in any conversation.
  2. Find the template you want to remove.
  3. Click the Delete icon next to the template.
  4. Confirm the deletion.

Deleted templates cannot be recovered. If your team shares this template, deleting it removes it for everyone.


Share Templates with Your Team

Want everyone on your team to use the same replies? Toggle team visibility so your templates appear in every team member's Saved Replies list.

  1. Open the Saved Replies panel.
  2. Find the template you want to share.
  3. Toggle the visibility setting to make the template available to all team members.

When visibility is on, every team member on your JustCall account can see and insert the template. They cannot edit or delete templates they did not create.

When to share:

  • Standard replies to pricing, availability, or scheduling questions
  • Compliance-required responses (opt-out confirmations, legal disclaimers)
  • Onboarding sequences your whole team sends

When to keep private:

  • Drafts you're still refining
  • Replies specific to your territory or customer segment

Templates and AI Smart Replies

Templates and AI Smart Replies solve the same problem, speed up replies, but work differently.

Use both together. Start with AI Smart Replies to see if a contextual suggestion fits. If none of the suggestions match, fall back to a template. For conversations that always get the same answer (meeting confirmations, opt-out responses), templates are faster because they skip the AI step entirely.


Best Practices

Name templates by situation, not content. "Meeting confirmation" is more scannable than "Hi, confirming our meeting at..." when you're picking from a list of 20 templates.

Audit shared templates quarterly. Outdated templates cause inconsistent messaging. Review shared templates every quarter and update or delete ones that no longer match your current messaging.

Keep the list short. If your Saved Replies list has more than 30 templates, team members will scroll past the one they need. Consolidate similar templates and delete unused ones.

Use templates for compliance replies. Opt-out confirmations and required disclosures should be templates, not typed from memory. This ensures every rep sends the exact required language.
