Set Up Email Signatures in JustCall

Add a professional signature to every email you send from JustCall. Set up a personal signature for your own emails, or create a team signature that applies to all agents. Signatures support rich HTML formatting, logos, and images.

Create a personal signature

  1. Go to Settings > Email Inbox > Signatures
  2. Click Create Signature
  3. Enter a name for the signature (e.g., "My default signature")
  4. Use the rich text editor to compose your signature:
    • Add your name, title, phone number, and email
    • Format text with bold, italic, or custom colors
    • Insert a logo or headshot image
    • Add hyperlinks to your website or social profiles
  5. Click Save
  6. Set it as your default signature so it auto-appends to every outgoing email

Create a team signature

Admins can create a standardized signature for the entire team:

  1. Go to Settings > Email Inbox > Signatures
  2. Click Create Team Signature
  3. Compose the signature using the editor — use the {{agent_name}} and {{agent_title}} variables to personalize per agent
  4. Click Save
  5. Enable Apply to all agents to set it as the default for the team

When a team signature is active, it overrides individual agent signatures unless the agent has been exempted by an admin.


Add a logo or image

  1. In the signature editor, click the Image icon
  2. Upload an image from your computer or enter an image URL
  3. Resize the image within the editor as needed

For best results, use images under 200 KB and no wider than 300 pixels. Hosted images (via URL) are more reliable across email clients than embedded images.


HTML formatting

The signature editor generates clean HTML. If you prefer to write HTML directly:

  1. In the signature editor, click the Source or HTML toggle
  2. Paste your custom HTML
  3. Switch back to the visual editor to preview
  4. Save when satisfied

Custom HTML signatures render in most email clients. Test your signature by sending a test email to Gmail, Outlook, and Apple Mail to verify formatting.


Switch between signatures

If you have multiple signatures (e.g., formal and casual), switch between them when composing:

  1. In the compose window, click the Signature dropdown below the message body
  2. Select the signature you want to use for this email
  3. The signature updates in the preview
